Message Q4 Strategy...

The problem

AI is everywhere in your company. The company itself gets nothing out of it.

Marketing uses ChatGPT. HR tries Copilot. Sales buys Gemini. Everyone solves their own problem on their own account. Knowledge stays with the person, brand consistency drops, costs spread across ten invoices — and the company is no smarter for it.

01

Tools everywhere, no shared foundation

ChatGPT Team here, Copilot there, Notion AI somewhere else. Each one needs a fresh briefing, knows a fraction of your reality, shares nothing with the others.

02

Outputs that do not sound like you

Generic AI gives generic answers. Without your brand, your decks and your CRM, every text reads like every other company. Employees rewrite by hand.

03

No learning, no control

What one person figures out, they keep. Nobody sees who uses which model for what, what it costs, whether it is compliant. AI adoption without governance is shadow IT at premium prices.

Features

What runs on the workspace. Six areas, one shared context.

Models, brand, knowledge, tools and permissions live once in the workspace. Every area uses them automatically; every team works from the same state.

Models

Every leading model, text and image

Anthropic, OpenAI and Google for text, plus Flux, GPT-Image, Recraft and Ideogram for images — in one subscription, on one bill. Switch models mid-conversation; the context carries over. No lock-in to a single model.

Connectors

Connectors, not silos

Slack, Gmail, Google Workspace, Outlook, Confluence, Notion, HubSpot, Jira, Asana, GitHub, Shopware, LinkedIn, Meta, Google Ads. Your data stays where it lives — OpenBase reads through secure OAuth connections with a full audit trail.

Knowledge

A company wiki that builds itself

Uploads and conversations are distilled into a living company wiki with full page history. Answers come with source references and in your brand voice, configured per language.

Automations

Automations with approval

Connect a tool and OpenBase can run recurring work for you — inbox triage, mentions watch, a daily brief. Named, individually revocable, with explicit approval for any external action.

Projects

Projects you work on together

Shared conversations and projects from day one. Invite colleagues, build on each other’s work, and keep marketing, dashboards and brand-style images versioned and approved in one place.

Admin

Governance & cost control

Per-user and per-model usage and cost analytics, model whitelisting, full audit log, custom connectors on request. One central place instead of five shadow accounts.

Automations & connectors

Connect your stack, automate the busywork.

OAuth connectors to the tools your team already uses — Slack, Google Workspace, HubSpot, Jira, Asana, GitHub, Shopware, LinkedIn, Meta, Google Ads, WhatsApp. On top, automations run recurring work for real time savings: inbox triage, mentions watch, a daily brief — grounded in your company wiki.

Automations instead of black-box autonomy — with approval

Every connector you grant brings its own automations: inbox triage with Gmail, mentions watch with Slack, daily brief from Calendar. Named, individually revocable, with explicit approval for any external action.

Company wiki & connectors

A company wiki that builds itself.

Upload brand guidelines, pitch decks, contracts and notes — or connect Slack, Gmail, Drive, Confluence, Notion, HubSpot, Jira, Asana and Shopware. Uploads and conversations are distilled into a living wiki with full page history; every answer comes with source references.

How it works

Sign in. Connect. The company context builds itself.

No setup, no week-long onboarding. The workspace is ready after the first sign-in. As you work and connect your tools, OpenBase distills a living company wiki — so every answer is grounded in your reality, not generic boilerplate.

  1. 1

    Sign in via SSO

Google Workspace or Microsoft Entra ID. Your email domain is mapped to your workspace automatically. New domain? Workspace provisions in seconds.

  2. 2

Plug in your tools and knowledge

Slack, Gmail, Drive, Confluence, HubSpot, Jira, Asana — connected via OAuth with a full audit trail. Upload brand guidelines, decks and notes directly, or have connected sources indexed.

  3. 3

Every team works from the same source of truth

Uploads and conversations become a company wiki that keeps itself current. Marketing writes in your brand voice, Operations runs automations, IT sees every action in the audit log. No more tool sprawl.

Your workspace environment

One workspace for your whole company.

Models, knowledge, tools and rules live once — every area and every team works on top.

  • Shared context for every team

The company wiki, brand voice and connectors live once in the workspace. Marketing, HR, Sales and Operations work from the same state — no briefing ping-pong between tools.

  • SSO with your work account

Google Workspace or Microsoft Entra ID. Sign in, you are in. No password vault, no invitation links, no provisioning tickets.

  • So IT can sign off

EU hosting in Frankfurt, tenant isolation at the database level, full audit log. There so OpenBase can be deployed everywhere in the company — not what we sell on.

Who is this for?

For companies where AI is already used everywhere — and the company itself still gets nothing out of it.

Marketing teams

Brand voice baked in, image generation in your visual style, creative briefings in shared projects. Every leading text and image model on one bill. No more ChatGPT outputs that do not sound like you.

Operations & HR

A company wiki that actually finds what is in Confluence. OpenBase writes reports, summarizes reviews and runs automations — with approval workflows for anything that goes outside.

IT & governance leads

One central platform instead of five shadow tools. Per-user and per-model usage and cost analytics, model whitelisting, full audit log. You can see exactly where your data lives — IT does not have to sign off begrudgingly, IT finally gets visibility.

FAQ

What teams and IT ask first.

How is OpenBase different from ChatGPT Team or Microsoft Copilot?

ChatGPT Team gives every user one chat on one provider. Copilot lives in Office. OpenBase gives the whole company every leading text and image model on one bill, a company wiki that builds itself, shared projects, and connectors to the tools you already use — one workspace instead of ten private subscriptions.

Which AI models can we use?

Every leading model in one subscription: Anthropic Claude, OpenAI GPT and Google Gemini for text, plus Flux, GPT-Image, Recraft and Ideogram for images. Switch models mid-conversation and the context carries over — no lock-in to a single provider. Admins decide per workspace which models are available.

Which connectors are available?

Slack, Gmail, Google Workspace/Drive, Outlook, Confluence, Notion, HubSpot, Jira, Asana, GitHub, Shopware, LinkedIn, Meta, Google Ads and WhatsApp. Connection via OAuth with full audit trail. Custom connectors can be added on request.

How do automations work?

Each connector you set up can run recurring work for you — named tasks like inbox triage, mentions watch or a daily brief. On Pro they are active on connect; on the trial workspace they start off and you opt in per automation. If one becomes too much, you toggle it off in the connector settings or directly on the item that produced it. Any external action requires explicit approval.

How does the company wiki build itself?

Uploads and conversations are automatically distilled into a living company wiki with full page history. Every team works from the same source of truth, and every answer is grounded in your company with source references — instead of starting from a blank, generic prompt each time.

Can we work together in OpenBase?

Yes. Conversations and projects are shared from day one. Invite colleagues, build on each other’s work, and keep marketing, dashboards and brand-style images versioned and approved in one place.

Which languages are supported?

OpenBase understands and answers fluently in English, German and over twenty other languages. You can configure your brand voice per language.

How much does OpenBase cost?

Trial workspace free up to €15 of model usage — full product, no credit card. Pro: €19 per user/month — every model, the company wiki, projects, connectors, automations and hosting included, with fair inclusive limits for professional use. Heavy users enable Burst per seat; admins set a monthly cap per user. Enterprise with volume pricing and dedicated customer success.

How quickly can we get started?

Sign in with Google or Microsoft, the workspace is there. First connectors connected in two minutes. Brand voice calibrated in under ten minutes.

Where is my data stored?

Workspace data (conversations, files, company wiki) lives in Frankfurt, Germany, on Digital Ocean Managed PostgreSQL and object storage. Each workspace has an isolated schema, technically separated from every other tenant.

Are our inputs used to train the AI?

By default, no. The enabled AI providers run via commercial APIs without training rights. Admins can allow additional providers per workspace — the training policy of each provider is shown clearly when enabling it.

Which single sign-on options do you support?

Google Workspace and Microsoft Entra ID (Azure AD) from day one. Custom SSO setups (e.g. SAML) on request on the Enterprise plan. Classic password login is not offered by design.

What happens if we cancel?

Full data export at any time. After cancellation, deletion within 30 days, on request with a deletion confirmation.

Not another chatbot. The infrastructure underneath.

The difference is context. OpenBase gives every team every leading model on one bill, and a company wiki that builds itself from your uploads and conversations — so answers are grounded in your reality, not generic boilerplate.

One platform for every team in your company, not one chatbot per department. Work happens in shared projects. Outputs sound like you. IT sees every action.
